Privacy Policy

Privacy Policy

This policy describes how Techmo collects, uses, stores, protects, shares, and manages information when you use our website, customer messaging services, and AI features.

Effective date: September 24, 2026

1. Commitment to privacy

Techmo respects the privacy of users, customers, and end users whose conversations may be managed through our platform.

We aim to collect only the information needed to provide the service, protect accounts, support customers, and improve the product.

2. Information we collect

We may collect account and profile information such as name, email address, phone number, company name, job title, billing details, and workspace settings.

We may collect information you submit through forms, demo requests, support conversations, surveys, contracts, or other communications with Techmo.

When you use the service, we may process customer conversation data, message content, sender identifiers, timestamps, channel metadata, attachments, tags, notes, assignments, and other workflow data needed to operate the shared inbox.

When you use AI Chat, we collect the prompts you submit, recent messages included as conversation context, AI-generated responses, and, when workspace knowledge retrieval is enabled, relevant excerpts retrieved from your workspace knowledge base.

We may collect technical and usage data such as browser type, device information, IP address, pages visited, feature usage, log data, error reports, cookies, and similar analytics information.

3. When information is collected

Information may be collected when you visit the website, create an account, request a demo, subscribe to a plan, connect a messaging channel, invite team members, submit a form, contact support, or otherwise interact with Techmo.

AI Chat information is collected when you type and submit a prompt or otherwise choose to use an AI feature. In the mobile app, Techmo asks for your permission before AI Chat content is shared with a third-party AI provider.

Information may also be collected automatically when you use the website or service, including through cookies, logs, integrations, and platform webhooks.

4. How we use information

We use information to provide, operate, maintain, secure, and improve Techmo and the customer messaging workflows you configure.

We use information to create and authenticate accounts, connect supported messaging channels, route conversations, display customer context, synchronize platform events, and support team collaboration.

We use AI Chat information only to provide the requested AI response, preserve your AI conversation history, retrieve relevant workspace knowledge when enabled, maintain service security and reliability, and troubleshoot the feature.

We use information to respond to inquiries, provide onboarding and customer support, process subscriptions and payments, send service updates, and communicate important account or security notices.

We may use aggregated or de-identified information for analytics, product research, performance monitoring, and improving reliability, usability, and customer workflows.

We may use information to prevent fraud, abuse, unauthorized access, spam, security incidents, or violations of our terms and applicable law.

5. Messaging platform data

Techmo integrates with third-party messaging platforms such as Meta (Facebook), Zalo, web chat, and other supported channels. The exact data processed depends on the channel, permissions granted, and features used by the customer.

Platform data may include messages, comments, sender or recipient identifiers, page or account identifiers, conversation metadata, delivery status, attachments, and webhook events.

Techmo processes platform data only to provide the requested messaging, support, workflow, automation, reporting, and synchronization features, in strict compliance with the respective platform's terms, such as the Meta Platform Terms.

Third-party platforms may apply their own terms, privacy policies, permission rules, API limits, data retention rules, and review requirements.

6. AI Chat and third-party AI providers

When you submit a prompt to AI Chat, Techmo first receives and processes it through our servers. To generate a response, we may send the prompt, up to 20 recent completed messages from the same AI Chat thread, and relevant workspace knowledge-base excerpts when knowledge retrieval is enabled to the AI provider configured for your workspace. We do not intentionally include profile, billing, or unrelated workspace data unless you place that information in a prompt, conversation, or knowledge-base source.

Depending on your workspace configuration and the requested AI function, recipients may include OpenAI (openai.com), Anthropic (anthropic.com), Google (google.com), and Voyage AI (voyageai.com). These providers process the disclosed content to generate text, create embeddings for search, or rank relevant knowledge results. Techmo does not sell AI Chat content or share it with these providers for advertising.

Before the mobile app sends AI Chat content to a third-party AI provider for the first time, it displays what data may be sent, identifies the providers, and requests your affirmative permission. You may decline and continue using non-AI features. You may also grant or revoke permission at any time under Account > AI Data Sharing. After revocation, the mobile app will not send new AI Chat content to an AI provider unless you consent again.

Techmo requires third-party AI providers that process personal data on our behalf to use it only for the instructed service purpose and to maintain confidentiality, security, retention, deletion, and international-transfer safeguards that provide the same or an equivalent level of protection as described in this Privacy Policy and required by applicable law.

AI-generated responses may be inaccurate and should not be treated as professional advice. Do not submit sensitive personal information or confidential information that is not necessary for your request.

7. Cookies and tracking technologies

We may use cookies and similar technologies to remember preferences, understand website usage, improve performance, support security, and measure marketing effectiveness.

You can usually control cookies through your browser settings. Disabling cookies may affect certain website or service functionality.

8. Sharing information

We do not sell personal information. We may share information with service providers that help us operate Techmo, including hosting, infrastructure, analytics, payments, communications, customer support, security, and product operations providers.

We may share information with third-party platforms or integrations when needed to provide features you choose to use, such as sending or receiving messages through connected channels.

When you enable and use AI Chat, we share only the AI content and context described in the “AI Chat and third-party AI providers” section with the provider configured for the requested AI function.

We may disclose information if required by law, regulation, court order, or government request, or when we believe disclosure is necessary to protect rights, safety, security, users, Techmo, or others.

If Techmo is involved in a merger, acquisition, financing, restructuring, or sale of assets, information may be transferred as part of that transaction subject to appropriate protections.

9. Data security

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, loss, misuse, disclosure, alteration, or destruction.

These measures may include access controls, role-based permissions, encryption where appropriate, monitoring, backups, secure infrastructure, and internal security procedures.

Only authorized personnel and service providers should access information when needed to operate, maintain, secure, support, or improve the service.

No online service can guarantee absolute security, so customers are responsible for using strong passwords, managing user permissions, protecting connected channel credentials, and promptly notifying us of suspected unauthorized access.

10. Data retention

We keep information for as long as needed to provide the service, support active subscriptions, comply with legal obligations, resolve disputes, maintain security, and enforce agreements.

Customer conversation data may remain stored while an account or workspace is active, unless the customer deletes it, configures retention controls, or requests deletion where available.

AI Chat prompts and responses are stored in the relevant AI Chat thread until the user or workspace deletes them, the account or workspace is deleted, or an applicable retention requirement expires. Third-party AI providers may retain transmitted content only as permitted by our applicable service terms, processing instructions, and legal obligations.

After subscription expiration or termination, Techmo may retain data for a reasonable period to support renewal, backup, legal, accounting, dispute resolution, and security purposes, then delete or anonymize it according to internal policies and applicable law.

Some information may remain in backups or logs for a limited period before routine deletion.

11. Access, correction, deletion, and export

Depending on your location and applicable law, you may request access to, correction of, deletion of, restriction of, or export of personal information we process about you.

Workspace owners and administrators may be able to update user profile details, invite or remove users, configure connected channels, and delete certain workspace data directly in the product.

Data Deletion Request: If you wish to delete your account, remove your data from our systems, or revoke Techmo's access to your third-party accounts (such as Meta/Facebook), you can do so directly within your workspace settings or by contacting us at [email protected]. Upon request, we will delete your personal data within a reasonable timeframe, subject to legal and operational retention requirements.

We may need to verify your identity or authority before fulfilling a privacy request, especially where the request relates to a business workspace or customer conversation data.

12. User Data Deletion Instructions

Techmo takes your privacy very seriously. If you want to delete your activities or data related to the Facebook login application, you can follow these steps:

Access your personal Facebook account, go to Settings & Privacy > Settings.

Find the Apps and Websites section, then select the Techmo app.

Click the Remove button.

To completely delete data on our system: Please log in to our system, go to Account Settings > click Delete Account/Data OR send a request via support email: [email protected]. We will proceed to delete all your profile information from the database within 72 business hours.

13. Customer responsibilities

Customers are responsible for ensuring they have a lawful basis to collect, import, connect, and process end-user information through Techmo.

Customers are responsible for the accuracy, legality, and appropriateness of content they submit to the service and messages they send through connected channels.

Customers should inform their own end users about how customer conversation data is collected and processed, and should respond to end-user privacy requests as required by applicable law.

14. Marketing communications

If you submit your contact information or sign up for Techmo, we may send service-related communications and, where permitted, product or marketing updates.

You may opt out of non-essential marketing communications by using unsubscribe instructions or contacting us. We may still send transactional, security, billing, or service notices.

15. International transfers

Techmo, its infrastructure providers, and service providers may process information in countries other than where you are located.

When information is transferred internationally, we use reasonable safeguards designed to protect it according to this policy and applicable law.

16. Third-party links and services

The Techmo website or service may contain links to third-party websites, platforms, applications, or services that are not operated by Techmo.

This links notice does not reduce the safeguards described above for service providers that process personal data on Techmo's behalf. For third-party websites and services you visit or use independently, Techmo does not control their privacy practices, content, security, or policies, and you should review their privacy policies.

17. Children's privacy

Techmo is intended for business use and is not directed to children.

We do not knowingly collect personal information from children. If you believe a child has provided personal information to Techmo, please contact us so we can take appropriate action.

18. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal requirements, or business practices.

When we make material changes, we will post the updated policy on this page and may provide additional notice through the website, product, or email.

19. Contact

Privacy questions, requests, and complaints can be sent to [email protected].

Please include enough information for us to understand your request and verify the relevant account, workspace, or communication.
